Position Overview:

This position is part of the Global Financial Operations team, based Asia. The Credit Control Collector is responsible for collecting amounts, maintaining a professional relationship with hotel suppliers and cooperates with Expedia Market Managers in different locations. We are looking for a highly motivated, goal-oriented individual with professional phone skills and extremely positive attitude. As a Credit Control Collector you will maintain your own account portfolio, contacting hotels via phone, email, requesting payment and reconciliation of compensation owed, while educating them on the benefits of partnering with us. This position requires an organized team player with communication skills. The role requires either one year experience in collections, customer service, or the travel industry, and bilingual fluency.

Responsibilities include but are not limited to:

* Make pro-active and collection calls, send reminder emails to hotels regarding unpaid invoices
* Analyse, understand and avoid reasons why hotels do not pay
* Communicate with hotels in various countries as required and bring new and innovative ideas how to collect unpaid invoices while maintaining a great business relationship
* Effectively cooperate with Market Managers in order to establish a strong Expedia Inc. Team
* Follow up with hotels on a recurring basis, building relationships
* Utilize various applications and tools such as SalesForce, and the Microsoft Suite of products
* Ability to work well with other departments including Cash Application, Supplier Relations, Invoicing, and Lodging Market Management
* Meet departmental expectations/deadlines including call/email volumes, response SLAs, and collections targets

Preferred qualifications:

* Must be fluent in English Language & Bahasa Indonesia
* 1-3 years of experience

* High School Diploma or equivalent
* Working knowledge of basic programs including Excel, Word, and Outlook
* Detail-oriented, organized, efficient and ability to multi-task
* Excellent problem-solving, analytical and mathematical skills

BACKGROUND

The International Catholic Migration Commission (ICMC) is an international operating non-governmental organisation serving and protecting uprooted people – refugees, internally displaced persons and migrants – regardless of faith, race, ethnicity or nationality. ICMC advocates for rights-based policies and durable solutions directly and through a worldwide network of member bishops conferences, and alongside government and non-governmental partners.

ICMC has been awarded a grant from the U.S. Department of State’s Bureau of Population, Refugees, and Migration to conduct, through local implementing partners, a series of activities focused on prevention and reduction of gender-based violence (GBV) within the Burmese urban refugee community in Kuala Lumpur, the Klang Valley and Penang. The components of the project include: capacity building and awareness raising amongst local Burmese refugee organizations to combat GBV; formation of a Refugee Women’s Protection Corps to serve as front-line trainers and peer counselors for adults and children in refugee communities; provision of increased shelter capacity and emergency health care for GBV victims, including children; and the provision of mini grants to refugee communities for community-oriented solutions for GBV issues to better serve GBV survivors.

JOB PURPOSE

The Finance and Administration Coordinator will be responsible for all the finance, administration related tasks and project support for the country office in Kuala Lumpur and sub-office in Penang. S/he will provide technical assistance to all project partners, beneficiaries and stakeholders on financial matters pertaining to projects. The FAC is also responsible to develop and manage the operations of ICMC’s country office with high-level of administrative, and project support.

Finance

Responsible for all financial and accounting operations of the ICMC country office and Penang sub-office;Recording incoming funds from Operations in Geneva;Recording and making payments and disbarments to project partners, vendors and stakeholders;Maintaining cash account and cash management;Prepare financial plans, budgets, cash projection requests, and forecasts; record and monitor expenses;Processing country staff payroll and volunteer stipends;Reconciling monthly accounts and expenditure’Providing technical support to project partners, beneficiaries and stakeholders on financial matters pertaining to projects;Preparing accurate and timely month financial statements;Monitoring and assisting the implementation of the financial component of ICMC GBV Mini Grants;

Administration

Developing and managing the day-to-day operations of ICMC’s country office, including but not limited to high-level administrative and project support, financial reporting, human resources, IT & facilities management;Develop procedures to manage the office’s administrative, financial, IT and human resource functions;Liaise with UNHCR administrative and operations on all matters related to day-to-day operations of ICMC office, including office administrative services contracts and all other contracts and service invoices;Provide technical assistance to project partners in the preparation of financial and administrative reports;Oversee logistics planning for training events and meetings, including securing venue, catering and other logistical matters;Conduct regular inventory and purchasing of office stationery and supplies, training materials;Prepare meeting agendas, background documents and minutes for internal and external meetings;Maintain office calendar for staffManage the filing, storage and security of documents; prepare, receive and file correspondences;Coordinate with external partners and contractors providing operating support to the ICMC country team;Handle staff travel arrangements as required, andPerform any other tasks as required and assigned by the Program Manager.Qualifications and Key competenciesBachelor’s degree in accounting, business, public administration or related field.Minimum of 3 years’ experience in private, public, or non-profit day-to-day operations management.Demonstrated successful experience in bookkeeping and accounting, financial reporting, administration, human resources, IT and facilities management.Experience in preparing budgets, analyzing overheads and monitoring project budget.Strong organizational skills.Experience with Microsoft Excel, Word and Power Point. Additional experience with Navision accounting software is a plus.Strong attention to detail and exceptional ability for follow-through.Excellent written and verbal communication skills.Ability to work well in a team environment, manage multiple assignments, prioritize work, and meet deadlines.Ability to work effectively with minimal supervision and few established protocolsAbility to take initiative on finding new donors and leading proposal efforts.Knowledge and understanding of relevant laws, regulations, codes, guidelines and administrative best practices related to basic office and non-profit management will be considered an asset.How to apply:

About the Programme

Save the Children is an independent child rights development organisation, and is a member of an international non-government organisation (INGO) consortium called the ASEAN Agreement on Disaster Management and Emergency Response (AADMER) Partnership Group (APG), led by Oxfam GB, comprising of Save the Children, Plan International, World Vision, Child Fund, Help Age, and Mercy Malaysia. This consortium has developed a work plan that aims to strengthen ASEAN in implementing AADMER. The implementation of the Safe School activities and the integration of disaster risk reduction (DRR) in Education have been identified as two sub-components of the AADMER Work Programs for 2010-2015. This has resulted in the current ASEAN School Safety Initiative (ASSI).

Plan International has been designated by the APG to lead the ASEAN Safe School Initiative (ASSI), which has been endorsed and approved by ASEAN. Implementing partners are Plan International, Save the Children, World Vision, and Mercy Malaysia. In addition, relationships regionally through the Asia Pacific Coalition for School Safety ensure engagement with other school-safety stakeholders in the region, including IFRC, UNESCO, UNICEF, UNISDR and others.

The specific objectives of ASSI are to: 1) increase funding, tools, local expertise and guidance for the Safe Schools Initiatives in the ASEAN region; and 2) improve capacities at national level through inter-agency collaboration and the use of the Comprehensive School Safety Framework.

The ASSI project will benefit from the combined extensive experience of APG members in DRR and education and wider humanitarian work in the targeted countries and at regional level. This includes their existing presence and influence in shaping the delivery and strengthening the capacity of national policies and institutions with regards to school safety. The capacity to secure greater coordination and capitalise on each agency's work in this area will ensure wider impact and outreach for the project's interventions. Both Plan and Save the Children and other ASSI partners' engagement in the APG will ensure project outputs and learning are shared at the ACPF regional coordination mechanisms.

Save the Children engages with national and sub-national authorities to support their education sector development goals and applying the Comprehensive School Safety Initiative framework develop support for global and regional collaboration for advocacy and standards, and to establish research priorities and research-practice linkages. We are represented on the Global Alliance for Disaster Risk Reduction and Resilience in the Education Sector's Steering Committee, and co-lead the School Disaster Management Working Group and the Ad Hoc Task Force on CSS Indicators. Over the past nine years, Save the Children has implemented more than 130 school safety programs in 49 countries worldwide, with significant activities and outcomes in DRR and Education and combined budgets of almost $60m USD. Three quarters of these began after 2008. Collectively these programs have reached nearly one million children making Save the Children a significant DRR in education agency across the region. Almost two-thirds of the total numbers of projects were implemented in Asia, with half of them in Southeast Asia.

About the Role

We are looking to recruit a Technical Advisor (TA) as part of the ASSI Project Management Team (PMT) to support the development and implementation of the ASSI, helping support strategies to go to scale with risk reduction and resilience in the education sector through at least December 2015. Key objectives which the TA will lead include the development and adoption of standards, tools, and approaches to support ASEAN and individual countries in developing, implementing, monitoring and evaluating indicators and minimum standards for school safety. The Technical Advisor works in close collaboration with ASSI Technical Committee and other key stakeholders such as Asian Coalition for School Safety.
