Asia Pacific GARS Order DeskThe Global Asset Recovery Services (GARS) division of IBM Global Financing exists to optimise the financial recovery from assets at end of lease. Doing so supports the provision of competitive finance solutions to clients.

The GARS Order Desk role performs a range of tasks which will enhance the productivity of GARS sales staff (known as Traders) and improve customer satisfaction through improved communication.

The role will be located in the IGF Asia Pacific Centre of Excellence (Kuala Lumpur) and will take functional guidance from the Asia Pacific GARS Director and/or Trader.

Primary tasks are grouped into sections below covering inventory sourcing, inventory management and sales order management.Inventory sourcing tasks:

• Checking pricing/availability of hardware requested by GARS trader in response to client enquiry:- Internally sourced hardware can be checked from IBM internal system or via email. – Externally sourced hardware can be checked via email with suppliers.

• Triggering the procurement of hardware from internal or external sources.

• Manage the information required to set up new suppliers in the IBM system.

Inventory management tasks:

• Generating regular inventory reports in the formats required for distribution to various IBM audiences

Technical support:

Generate configurations using IBM e-configurator tool across all IBM platforms

Assist in Solution Design and system assurance for GTS sales when necessary

• Collecting and submitting the information required for GARS Administrative Support to set up new clients and issue mandatory documentation

• Submitting the necessary documentation to have new clients reviewed and approved by the required parties and receive interim approval to transact.

• Manage the process of seeking buyers for and triggering sales orders for low value stock

• Submitting the information required by GARS Administrative Support to create all other SAP sales orders, either by email or IBM workflow tool (WFT)

• Submitting the documentation required to achieve export approval for selected machines

• Triggering and/or managing the collection of hardware from customers’ sites (for example, returns from a customer).

This may include the collation of weights/dimensions, site address and contact details and restrictions, providing information in the pre-defined format.

• Providing estimated delivery times to internal and external clients when requested.

Required skills:

• Familiar with IBM e-configuration tool

Proficient with Lotus Notes email and team-room functionality

• Proficient with Microsoft Excel data manipulation tools such as VLOOKUP, filtering, sorting, pivot tables.

• Responsiveness to email and other forms of communication

• Time management and workload organisation skills

• Willingness to learn and develop skills to support role scope changes Preferred skills:

• Familiarity with SAP

• Understanding of leasing
